Buying Signals: How to Find Businesses That Are Ready to Talk
Cold outreach has a reputation problem, and most of it is earned. Large purchased lists, generic messages and no sense of timing produce low reply rates and annoyed prospects.
The fix is not more volume. It is better targeting: fewer businesses, chosen because they match your best customers and show signs that they are ready for a conversation.
Start with fit
Before looking at signals, define fit precisely. Look at your best existing clients and write down:
- Industry and sub-segment
- Company size, by headcount or revenue
- Region
- The role that usually makes the decision
- The tools and systems they tend to use
This is your ideal customer profile. Everything else filters through it.
Then look for change
Businesses buy when something changes. The most useful signals are signs of change that are visible from the outside:
Hiring. A company posting several sales or operations roles is growing and probably feeling the strain.
New technology. Switching CRM, adding a scheduling platform or adopting new software often creates related needs.
Advertising activity. New paid campaigns suggest budget and a push for growth.
Review activity. A sharp rise in reviews often means rising volume, and sometimes rising service problems.
No single signal proves intent. Two or three together, on a business that fits your profile, are a strong reason to reach out now rather than later.
Verify before you contact
Signals are worthless if the email bounces or the number is dead. Every contact should be checked for deliverability and line status before outreach starts. It protects your sending reputation and your team's time.
Make the first message relevant
The point of signals is relevance. If a business has just posted three sales roles, a message about onboarding new reps quickly will land better than a generic introduction. Good targeting makes good copy easier to write.

Records should arrive in your CRM tagged with segment, signal and batch, so your team can prioritize and so results can be measured by source. Spreadsheets passed around by email are where good leads go to die.
